Guidelines

1. Recognition of AMSI/AustMS/ANZIAM sponsorship

The conference or meeting must be clearly advertised as an activity supported by AMSI and the Australian Mathematical Society or by AMSI and ANZIAM.

AMSI and AustMS/ANZIAM must be listed as sponsors (and the AMSI and AustMS logos used) on all publicity material and on the program provided to delegates and speakers.

If AMSI and AustMS/ANZIAM are the major sponsor (50% or more of the event sponsorship), the event is to be entitled and promoted as The AMSI/AustMS or AMSI/ANZIAM Workshop on XYZ.

AMSI and AustMS/ANZIAM materials will be included in delegate bags at the event.

2. Organisers

The organiser must be from an AMSI Member institution and a member of AustMS or ANZIAM, as appropriate.

The conference or meeting must be open to all AMSI and Society members.

3. Registration fees

Registration fees should be charged, with at least a 20% reduction for AMSI and AustMS/ANZIAM members. A further reduction should be made for members of AustMS/ANZIAM who pay the reduced rate subscription (i.e. student members, those not in full time employment and retired members).

4. What can be funded?

AMSI funding provides support for invited speakers travel and accommodation.

Travel and accommodation for other attendees may be available through the AMSI travel funds.

AMSI does not provide sponsorship for administrative expenses, venue hire or catering.

AMSI will provide up to $10,000 per event

AustMS will provide up to $6,000 per event.

4. Applications

Application must be submitted on the template provided.

Applications should be lodged no later than six months before the meeting or conference.

Only in exceptional circumstances will support be provided near the time of the Annual Conference of the Australian Mathematical Society being held in another city.

Final reports and the invoice for sponsorship must be received within 90 days after the event for payment.

5. Photographs

Arrange for photography. AMSI uses photos funded events for its archive and for use in its Annual report and newsletters. Please include photos of the opening, important speakers giving talks, group and some audience shots. Provide the names and institutions of the people in the photos.

The photos should be taken in the highest quality possible on your camera (send us original photos from your camera, not versions condensed for the web) so that we can reproduce them in print. If photos can be provided to us in RAW that would be even better.

The registration form should include permission to reproduce photos taken at the event.

Consent. I am aware that the organisers may take photographs of the event for publicity and/or for educational use. I agree to allow the organisers and AMSI to use any photographs of myself for promotional and education purposes.

6. Reporting

On completion, a Conference Report or Meeting Report should be prepared on the template provided.  The ‘Report’ section should be suitable for publication in the Australian Mathematical Society Gazette, the AMSI website and the annual AMSI report booklet.

The report should include:

  • Organising Committee
  • Topics Covered
  • Special presenters
  • Report (suitable for publication in the Australian Mathematical Society Gazette and the annual AMSI report booklet)
  • Summary of Participants
  • Institution
  • Organisers’ opinion of success
  • Appendix 1 – Event feedback
  • Appendix 2 – Attendees
  • Appendix 3 - Program
  • Appendix 4 - Financial breakdown
    Including:
    Sponsorships, including in-kind

    Itemised income and expenditure.

A copy of the proceedings (if applicable) must be submitted.
